Online Client Galleries: Sharing, Downloads and Privacy

How to deliver wedding photos online so families can view, download, share and order prints easily, and privately.

Key takeaways
•
Organise the gallery by event, in the order of the day.
•
Offer two download sizes: full resolution for prints, smaller for phones and sharing.
•
Use private links and passwords, and ask couples how widely they want to share.
•
Tell couples how long the gallery stays online and remind them to keep their own copies.
The online gallery is where the couple and their families first see the full set of wedding photographs. It shapes their memory of your work as much as the photographs themselves. A clean, well-organised gallery that works on a phone feels professional and special. A confusing folder of files, a download link that expires in a week, or a gallery that crashes on a phone undoes weeks of careful editing.
This guide covers how to deliver galleries that families enjoy and trust.

What makes a good gallery

•
Fast and easy on a phone, where most people will open it first.
•
Beautiful presentation: a cover image, clean layout, no clutter.
•
Organised by event, in the order of the day.
•
Simple downloads in useful sizes.
•
Private, with access controlled by the couple.
•
Favourites and sharing, so families can mark images and send them to relatives.
•
Print ordering, if you offer it.
Many photographers use a dedicated client gallery service; others use their website or cloud storage. Whatever you use, test it from the client's side before sending the link.

Organise by event

A wedding gallery with hundreds of images in one long scroll is overwhelming. Split it into sets that follow the day:
1.
Highlights (your best thirty to fifty images).
2.
Haldi.
3.
Mehendi.
4.
Sangeet.
5.
Getting ready.
6.
Baraat.
7.
The ceremony.
8.
Family groups.
9.
Couple portraits.
10.
Reception.
Put a highlights set first. Many relatives will only look at that, and it shows your best work immediately.

Download sizes

Offer at least two sizes:
•
Full resolution: for printing and the album, large files, for the couple.
•
Web size: smaller files that download quickly on a phone and are perfect for sharing and social media.
Explain the difference in the delivery message. Families often download full-size files to their phones, fill their storage and then complain the gallery is slow. A simple note avoids this.
Tip: Name exported files meaningfully, such as "Priya-Arjun-Wedding-0001.jpg", so they stay organised on the couple's devices.

Privacy and access

Wedding photographs are personal, and some families are very private.
•
Use private links that are not listed publicly or searchable.
•
Add a password or require an email to view, if the couple wants control.
•
Ask the couple how widely they want the gallery shared: only them, close family, or all guests.
•
Control downloads: some couples want guests to view but not download full-size images.
•
Respect sensitive images: keep any private or sensitive moments in a separate, restricted set.
•
Agree social media use in the contract, including whether you may post images yourself.

Favourites and album selection

Many gallery tools let clients mark favourites. Use this for album selection: ask the couple to mark, for example, eighty to a hundred favourites within a set time. It saves long email threads and helps you design the album around what they love. Our guide to album design explains the next steps.

Sharing with large families

Indian weddings often have large families spread across cities and countries.
•
Send one main link to the couple, and let them share it.
•
Create a guest version with web-size downloads only, if the couple prefers.
•
Make it work on slow connections: a highlights set loads quickly even on weak mobile data.
•
Consider separate sets for each family side, if the couple wants.

Print ordering

If you sell prints, frames or photobooks through your gallery, keep choices simple: a few sizes and finishes you trust. Order samples yourself so you know the quality clients will receive. Print sales can be a useful extra income, especially from grandparents who want framed photographs.

The delivery message

Send the gallery with a short, warm message that includes:
•
A thank-you and one line about the day.
•
The gallery link and password, if any.
•
How to download full size and web size.
•
How long the gallery stays online.
•
A reminder to keep their own backups.
•
What comes next: album selection, film delivery, prints.

How long to keep galleries online

Galleries cost storage, so they rarely stay online forever. Choose a period, write it in your contract and your delivery message, and remind the couple before it expires. Offer to extend or to resend files later for a fee, if you archive them. Our backup workflow covers how to keep your own archive safely.

Test before sending

Before you send the link:
1.
Open the gallery on a phone, a laptop and a tablet.
2.
Check that sets are in the right order and every set has images.
3.
Download a full-size and a web-size image and check them.
4.
Test the password or access settings.
5.
Look through the highlights one more time as the couple would.

Video in the gallery

If you deliver films as well as photographs, put them in the same place. Many gallery services can host video, or you can link to a private video page from the gallery. Families appreciate having everything in one link, and it avoids the confusion of separate emails, drives and passwords for photos and films. Offer a downloadable file of each film as well as online playback, since streaming can be slow on weak connections.

Handling requests after delivery

After the gallery goes out, families often ask for small things: a photo of a particular relative, a black-and-white version, a crop for a profile picture, or a missing moment. Decide in advance which requests are included and which are paid extras, and write it in your contract. Answer quickly and kindly; these small favours are often what families remember most about working with you.

Accessibility for older relatives

Grandparents and older relatives are often the most eager to see the photographs and the least comfortable with technology. Keep the gallery simple: large images, clear buttons, no sign-up required to view, and a short written guide in the delivery message that the couple can forward. Some photographers also send a small set of printed favourites to grandparents; it costs little and is remembered for years.

Watermarks

Do not watermark the couple's own gallery. They paid for the photographs and want to print and share them cleanly. Keep watermarks, if you use them at all, for public previews and your own marketing.

Common mistakes

•
One giant folder with no organisation.
•
Only full-size downloads, which frustrate phone users.
•
Public links for families who expected privacy.
•
Galleries that expire quickly without warning.
•
No delivery instructions, leading to repeated questions.

The gallery as a marketing tool

Every guest who opens the gallery sees your work at its best, presented beautifully. Include your name and a simple way to contact you, without being pushy. A well-delivered gallery is often the moment a couple decides to recommend you. Our guide to getting reviews and referrals explains how to make the most of it.

Choosing a gallery service

When comparing gallery tools, look at: how galleries look and load on phones, download options and sizes, privacy controls, favourites for album selection, print ordering, storage limits and cost, and how easy it is for elderly relatives to use. Try a free trial with a real wedding before committing, and ask a family member who is not technical to test it. The best tool is the one your clients can use without calling you for help.
